BFN Discord Bot Privacy Policy

Last updated: October 30, 2026 This policy explains what the BFN Discord bot (BFN#2582) does with your data. It covers this bot only. The privacy policy of the BFNations website and store is published separately on www.bfnations.com/legal. The bot is run by BFNations, 5-1106 Rue De Dijon, Quebec, QC, G1W 4M8, Canada. Contact: Yuri.cloutier@bfnations.com.

Data we store

When you use the bot, we store in our database:

• your Discord user ID

• the in-game names you register

• your team and nation membership, and your role in them

• team names, descriptions and icons

• your matches, results, ratings and leaderboard positions

• your tournament registrations and queue entries, including the platform linked to them

For each server using the bot, we store its configuration: server, channel and role IDs, and linked channels.

Data we process without storing it

• Messages in cross-server channels: the bot reads the text and attachments of messages posted in channels that a server admin has linked, and reposts them in the linked channels of partner servers, under the author's display name and avatar. A message with a link or a Markdown heading is deleted instead of being relayed, and its author is told why in a private message. We do not write these messages to our database or our logs. The relayed copies stay on Discord, where the moderators of each server can see them.

• New members: when you join the main BFNations server, the bot may give you an "unregistered" role and sends you a welcome message. We do not record the join.

Why we use this data

We use it only to run the features of the bot: matchmaking, teams, nations, tournaments, leaderboards and cross-server channels. Our legal basis is providing the service you ask for by using the bot, and our legitimate interest in running fair competitions and keeping their history. We do not sell your data, use it for advertising, or use it to train machine learning or AI models.

Who can see it

Team names, rosters, match results and leaderboards are shown on the Discord servers using the bot. Discord processes all messages under its own privacy policy. Our data is stored on a server hosted by Infomaniak, so it may be processed outside your country. We do not share it with anyone else, unless the law requires it.

How long we keep it

We keep your data for as long as you take part in the community, because it makes up the match history and leaderboards, or until you ask us to delete it. Technical logs may contain Discord user IDs and the data sent to our API, such as in-game names and team names. We keep them for at most 30 days.

Security

Our database is encrypted at rest, and access to our server is restricted to the team running the bot.

Your rights

You can ask us for a copy of your data, or to correct or delete it, by writing to Yuri.cloutier@bfnations.com or by contacting a moderator on the BFNations Discord server. We answer within 30 days. Deleting your data removes you from teams and leaderboards. If you live in the EU, the UK or Switzerland, you can also complain to your data protection authority.

Children

You must meet Discord's minimum age to use the bot. It is not intended for children under 13.

Changes

We publish any change to this policy on this page, with a new date.
